Audits & inspections
Plan and conduct inspections from a checklist, score each finding, raise CAPA on failures — with recurring templates that reschedule themselves and overdue reminders.
Audits and inspections turn a checklist into a scored record. Walk the checklist, mark each item pass or fail, and any failed finding can raise a corrective action.
Create an audit
- Go to Audits and use the Create an audit form.
- Pick the site, give it a title, and choose a type (workplace inspection, behavioral/BBS, compliance, program, management system, other).
- Set a scheduled date, choose who's conducting it from the roster, and paste your checklist (one item per line). Click Create audit.
Conduct it
- Open the audit to see its findings table.
- For each item set a result (pass, fail, not applicable) and severity (low, medium, high), add notes, and click Save.
- Use Add item if you spot something off-checklist.
- Click Complete audit when you're done.
Findings and CAPA
- A failed finding shows a Raise CAPA button. The CAPA links back to the finding, its priority follows the finding's severity, and once raised the finding shows a link to it instead of the button — one CAPA per finding.
- Use the status filter for Overdue or Failed findings (fails with no CAPA yet) to see what needs attention; dashboard tiles deep-link straight into these views.
Templates and recurrence
- Open Templates & scheduling from the Audits page.
- Create a template with a name, type, a frequency (one-off, weekly, monthly, quarterly, semi-annual, annual) and its checklist items.
- On any template row, pick a site and date and click Schedule to create the audit.
What happens automatically
- Recurring audits reschedule themselves. Completing an audit that has a frequency creates the next occurrence with a fresh copy of the checklist, dated one period on from the planned date (so a late completion doesn't drift the cadence).
- Overdue audits escalate. A background sweep raises a due-soon notification starting 7 days before the scheduled date, and an overdue notification once the date slips — addressed to whoever is conducting the audit (or the safety team if unassigned). Reminders are deduplicated, and completed audits are never escalated.
- Every create, finding change, completion and CAPA is recorded on the audit trail.
