Return-to-work cases

Track an injured worker's restricted or modified duty — restrictions, accommodation, and follow-up reviews — through to a full-duty return, with overdue reviews escalated automatically.

A return-to-work case tracks an injured worker on modified or restricted duty: the medical work restrictions, the accommodation, and the next follow-up review — all the way to a return to full duty. Linking the case to its injury incident ties it back to the OSHA/MSHA recordkeeping case (see incidents).

Open a case

  1. Go to Cases and use the Open a restricted-duty case form at the bottom of the page.
  2. Pick the Site, choose the Employee from the roster, and enter their Job title.
  3. Optionally link the Injury incident — start typing and pick from the case list; the case then shows a link to that incident record.
  4. Enter the Restrictions, the Accommodation (the modified duty), and a Review due date, then click Open case.

Track to full duty — or close another way

  • The list shows each case's incident link, restrictions, accommodation, effective date, and review status. Filter by Site and Status (open) to keep the active caseload in view.
  • A case whose review date has passed is highlighted and badged overdue.
  • When the worker is cleared, click Full duty — the case closes as a full-duty return.
  • Not every case ends that way. On an overdue case, a Close button ends the case without a full-duty return — separation, settlement, or transfer.

When a review slips

  • An overdue case can raise a CAPA (the CAPA button) so the follow-up isn't silently missed; once raised, the case links straight to it. See CAPA.
  • Overdue reviews don't just sit as a number: the recurring escalation sweep picks up every active case whose review date has passed and sends the safety team a "Restricted-duty review overdue" notification naming the employee and the missed date.

What happens automatically

  • Every active case with a review-due date appears as an RTW case review on the compliance calendar and its .ics feed — so reviews land in people's calendars before they're overdue.
  • Overdue reviews escalate to the safety team via the notification sweep, as above. Set who's emailed for that queue under notification routing.

Tip: open the case from a dashboard or calendar link and deal with the review the same day — an overdue badge is a lagging signal, not a to-do list.
