Visitor & contractor sign-in

Sign visitors and contractors in and out, with safety-orientation status captured at sign-in and a flag for any contractor on site without a current orientation.

The Site access module is your front-desk log — who's on site, when they signed in and out, and whether their safety orientation is current. A contractor on site without a valid orientation is flagged for follow-up.

Sign someone in

  1. Open Site access and use the Sign in row at the bottom of the page.
  2. Pick the site and choose the person's type (visitor, contractor, etc.).
  3. For a contractor, pick the contractor firm from the list of firms registered at that site (see Contractors) — this is what runs the access gate (below). The firm's name pre-fills the company. Then enter the name of the individual signing in.
  4. For a visitor, just enter their name and company.
  5. Pick the host with the roster picker so the visit links to an employee on your workforce roster.
  6. If they hold a safety orientation, set Orientation expires — that captures the orientation on the visit at sign-in, with its expiry date. Then choose Sign in.

The contractor access gate (blocks entry)

When you sign a contractor in against a registered firm, the app checks their clearance before allowing the sign-in and blocks it — with the reason shown — unless all of these hold:

  • the firm is Active, Qualified, and granted site access;
  • the firm's documents are compliant (e.g. insurance/COI, workers' comp not expired); and
  • the named individual holds the site's required credentials (e.g. MSHA Part 46/48 training currency, orientation, medical).

Every denial is written to the audit trail as access.denied — the evidence that the gate held. If you leave the firm unset, the contractor is signed in ungated (the check is skipped), so pick the firm whenever you want the gate enforced. A site with no registered contractors links you to Contractors to add one.

Sign out and watch orientation

  • People currently on site sort to the top of the log; choose Sign out when they leave. Signed-out visits stay in the log, greyed, with the sign-out time.
  • The Orientation column shows valid, expired, or none. A contractor on site whose orientation is expired or missing turns the whole row red — the flag applies to contractors, not visitors.
  • On a flagged visit, choose CAPA to raise a corrective action for the follow-up. It's assigned to the Safety Team, and the linked CAPA number then shows on the row.

What happens automatically

  • The dashboard shows a People on site count and a red Contractors on site w/o orientation count.
  • Every sign-in and sign-out is written to the audit trail; the sign-in entry records whether the person had a valid orientation at that moment, and a blocked contractor sign-in records the reason.
  • A background sweep keeps contractor access current between sign-ins: when a firm's documents lapse (e.g. its COI expires), its site access is revoked and any active work permit tied to it is suspended — automatically, so the gate closes on a clock rather than waiting for someone to notice.   • The same sweep auto-signs-out anyone still on site more than 18 hours after signing in — a forgotten sign-out — so the on-site muster count reflects who's actually there. These records are marked as auto-signed-out (presumed to have left at the 18-hour mark).
