Fleet & DVIR

The Fleet module tracks your vehicles and their Driver Vehicle Inspection Reports under 49 CFR 396.11/396.13 — a DVIR at the end of each driving day, and a safety defect that puts the vehicle out of service until repairs are certified.

Register a vehicle

1. Under Register a vehicle, choose the site and enter the unit number, description, VIN, and vehicle type (tractor, trailer, straight truck, van, bus, or pickup).
2. Click Register. The vehicle joins the list with its next DVIR due date — one day after the last report, per the end-of-each-driving-day rule.

Log a DVIR

1. Filter by site if you want, then find the vehicle in the list.
2. Click DVIR ✓ for a satisfactory report, or Defect/OOS if a safety defect is found. A defect marks the vehicle out of service (red row) and records the open defects on the row.
3. On a vehicle with open defects, Defects corrected logs a DVIR recording that the defects were fixed and verified.
4. Click Certify repair on an out-of-service vehicle to return it to service.

Each logged report rolls the DVIR due date forward.

Record the annual periodic inspection

Separate from the daily DVIR, every vehicle needs a 49 CFR 396.17 annual periodic inspection on its own 12-month cadence. The Annual due column shows the next date (bold red when overdue). Click Annual inspection ✓ to record it — that resets the 12-month clock. A vehicle may not be operated without a current annual inspection on file.

What happens automatically

• Rows turn yellow when a vehicle needs attention and red when it's out of service; an overdue DVIR or annual-inspection date shows in bold red.
• The daily escalation sweep notifies the safety team about every out-of-service vehicle (with its open defects) and every overdue DVIR — they don't sit as a silent count.
• An overdue annual inspection escalates separately — "Annual inspection overdue: {unit}" — on its own dedupe key, so it's tracked distinctly from the DVIR item and never masks it.
• The dashboard shows fleet totals: vehicles, vehicles needing DVIR, vehicles out of service, and vehicles overdue for annual inspection.

Follow up

• For a vehicle needing attention, use the Raise CAPA button to open a corrective action for the work (set the owner and due date on raise); the row then links to that CAPA. An out-of-service vehicle raises a high-priority CAPA.
• Export DVIR register CSV downloads the 49 CFR 396 vehicle register with DVIR and annual-inspection status — api/fleet/register.csv.
