Maintain your workforce roster — the master list of people (with mobile numbers) that pickers, incidents, training and the spreadsheet import all refer to.

People is your workforce roster. It's the master list of workers that incidents, training records, and exposure data refer back to, and it feeds the roster pickers used across the app — so keeping it current keeps everything else connected to the right person.

Add a person

  1. Open People. (If you have no sites yet, add a site first — everyone is assigned to one.)
  2. In Add a person, enter the full name, choose a site, and optionally add an employee id, mobile number, job title, and department. Job title and department pull from your managed reference lists.
  3. Choose Add.

Manage the roster

  • The Roster table shows each person's name (with email and mobile beneath it), employee id, job title, department, site, and status.
  • Use Deactivate to retire someone who has left — they stay on historical records but drop out of the roster pickers, which only offer active people — and Reactivate to bring them back.

Import your roster from a spreadsheet

  1. Choose Bulk import from a spreadsheet (or go to Import data) and pick the Workforce / people target. Upload a .csv or .xlsx, or paste CSV.
  2. Columns: SiteId and FullName are required; EmployeeId, Email, Phone, JobTitle, Department, HireDate (YYYY-MM-DD), and Status (Active | Inactive) are optional. Site columns accept your site names exactly as set up in the app — no codes.
  3. Validate (dry-run) first — nothing is written — fix any flagged rows, then Import.
  • The Onboarding workbook download on the Import page is a single Excel file with one sheet per data type and worked examples. Send it to whoever holds the data, then import the whole workbook in one pass.

What happens automatically

  • Re-importing de-dupes on site + employee id, so refreshing the roster from a newer spreadsheet doesn't create duplicates.
  • A person's mobile number prefills their SMS settings on My work — texting still requires their explicit opt-in there.

Tip: consistent job titles and departments come from Reference lists — set them there so pickers stay tidy.
